You can create a unified e-mail address for related departments. Provided the name is group containing damon and service accounts. When people outside the company send mails to This e-mail address is being protected from spambots. You need JavaScript enabled to view it , mails will be forwarded automatically to damon and service. Group accounts shall not be duplicated with actual accounts.

After application of users for new accounts, administrators will receive a notification mail of application and then decide whether approval is granted. Users can also check whether the application is approved. Webpage for account application can be the designed html page by the administrators who can also decide whether columns must be filled in or not.
